1. Who we are
This website (betteroutcomz.com) is operated by BETTER OUTCOMZ LTD, a company registered in England & Wales (company number to be confirmed), with its registered office at Orange Tower, MediaCityUK, Salford Quays, United Kingdom, M50 2HF. For the purposes of the UK GDPR and the Data Protection Act 2018, we are the controller of personal data collected through this site.
This policy applies only to personal data collected through the marketing website. Personal data processed inside our software products (Better Outcomes, InsolVatrack, Partner Connect) is governed by the separate contract with each customer, under which our customer is the controller and Better Outcomz acts as processor.

We do not collect special-category data through this website, and we do not carry out automated decision-making with legal or similarly significant effect on you.
3. Cookies and similar technologies

4. Who receives your data
We use a small number of trusted service providers:
- Resend (email delivery) - sends the internal notification when you submit a form. Data is transmitted to Resend, Inc. in the United States under the UK Addendum to the EU Standard Contractual Clauses.
- MongoDB (database) - form submissions are stored in a secured database. Access is restricted to authorised Better Outcomz engineers.
- PostHog (analytics, if accepted) - PostHog Inc. in the United States, under the same UK-approved transfer mechanism.
- Emergent / Kubernetes hosting - runs the site and terminates TLS at the edge.
We do not sell your personal data, and we do not share it with advertising networks.
5. How long we keep it
- Contact and demo enquiries: up to 24 months from the last meaningful interaction, then anonymised or deleted.
- Newsletter subscribers: kept until you unsubscribe.
- Analytics data: kept for the period configured in PostHog (currently 12 months).
- Security logs: rotated within 90 days.
6. Your rights
Under UK data-protection law you have the right to:
- ask what personal data we hold about you (a subject access request);
- have inaccurate data corrected;
- have data erased where the law allows;
- restrict or object to processing;
- data portability where applicable;
- withdraw consent at any time (for anything we rely on consent for);
- lodge a complaint with the UK Information Commissioner's Office (ico.org.uk, 0303 123 1113).
To exercise any of these, email privacy@betteroutcomz.com. We will normally respond within one month.
7. International transfers
Some of our processors (Resend, PostHog) are based in the United States. Where personal data leaves the UK, we rely on the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, together with supplementary technical measures (encryption in transit, restricted access, minimum-necessary data).
8. Security
We take reasonable technical and organisational measures to protect the personal data collected through this website, including TLS in transit, access controls, admin-token-gated administrative endpoints, per-IP rate limiting, and separation between marketing-site data and product data. No system is perfectly secure - if you believe you have found a vulnerability, please tell us at privacy@betteroutcomz.com.
9. Children
The betteroutcomz.com website is a B2B marketing site and is not directed at children under 16. We do not knowingly collect personal data from children through this site.
10. Changes to this policy
We will update this page when our processing changes materially and revise the effective date at the top of the document. Prior versions are available on request.
